Database Coordinator
The Database Coordinator is a key Development team member responsible for gift processing and plays a critical role in database management and reporting. The Coordinator produces accurate and timely acknowledgment and tribute letters for donors and preferably has experience with fundraising CRMs (preferably Raiser’s Edge (RE NXT) and Luminate Online).
Essential Functions:
- Ensure timely, accurate, and efficient data entry and processing of online and offline donations
- Maintain security of all gifts, including checks, credit cards, cash, etc., keeping all donor information confidential
- Complete daily data imports from multiple sources and exports to and from the Raiser’s Edge database
- Responsible for entering daily check batches
- Produce timely acknowledgment and receipt to donors within 48 business hours of donation submission/receipt, sharing with the designated gift officer/staff members for approval as needed.
- Support in-house mailing, creation of donor lists, and generating reports related to giving by creating queries, exporting data, and ensuring accurate data.
- Maintains a list of suppression records for future direct response communications
- Produce and coordinate notifications to family members for tribute gifts made in honor or memory of an individual
- Create and maintain accurate donor records in Raiser’s Edge
- Assist in the monthly reconciliation of giving with thefinance team
- Support the Database Department in maintaining good data health by reconciling duplicate and deceased records
- Complete additional tasks as assigned
Required Skills/Competency:
- Data entry experience with fundraising CRMs; Raiser’s Edge strongly preferred
- Proficiency in Microsoft Word, Excel
- Ability to effectively organize and complete multiple concurrent projects
- Strong interpersonal, communication, organizational, and problem-solving skills
- Attention to detail, accuracy, and efficiency are vital to success in this position
- Excellent writing and proofreading skills
Physical Demands: Bending, sitting, and lifting (20 pounds or less, not repetitive).
Position type and expected work hours: Entry-level full-time, typically 8:00 am-5:00 pm, five days a week, but can expect to work on weekends and more than 40 hours a week infrequently. This role is in-office 4 to 5 days per week. Applicants must be local to Los Angeles or willing to relocate.
Travel: <5%.
Required education and experience:
- Bachelor’s Degree or equivalent experience
- Knowledge of philanthropy and fundraising principles is a plus
- Advanced proficiency in mail merge in Microsoft Word and pivot tables in Excel, preferred
